Privacy Policy for Paperwork

  • Effective date: September 1, 2025

  • Last updated: September 1, 2025

Introduction

This Privacy Policy explains how Paperwork (“we”, “our”, or “us”) handles your data when you use our mobile app to understand and manage German paperwork.

Who We Are

Paperwork is operated by Makram Saleh (Mannheimerstr 206, 69123, Heidelberg, Germany). You can contact us at paperandpaperapps@gmail.com.

Our Privacy Principles

We believe in keeping your information private. Your data stays local. We do not collect or store your documents in the cloud. We don’t track you or sell your data. If you choose to use our AI features, document text may be sent securely to our processing provider, as explained below.

What We Don’t Collect

We do not collect your name, email address, contact info, or any login credentials. We also do not use cookies or any form of device-level tracking. Documents you scan or upload are processed entirely on your device unless you choose to use the AI summary feature. Paperwork does not use any tracking cookies or third-party analytics at this time.

Optional AI Processing (via AWS)

If you choose to use the AI summary feature, the text content of your document is temporarily sent to a hosted model running on AWS infrastructure. This text is not stored after processing, not linked to your identity, and never includes the original document image or full file. This feature helps you receive helpful summaries and actionable suggestions related to the document’s contents.

International Data Transfers

Because AWS services may be located outside the European Union (including in the United States), enabling the AI summary feature may result in international data transfers. These transfers are safeguarded by Standard Contractual Clauses (SCCs) approved by the European Commission. You may disable the AI processing feature at any time in the app’s settings to prevent any data from being sent outside the EU.

Legal Basis for Processing

Under the GDPR, we rely on several legal grounds to process your data. The app’s core functionality is supported by contractual necessity. Optional AI features rely on your explicit consent. In some cases, we may rely on our legitimate interest in maintaining app stability and security.

Data Storage and Protection

We protect your data by ensuring that all documents remain stored only on your device. We do not back up, analyze, or retain your files on any servers. If you delete the app, your data is deleted along with it. For optional AI features, only the minimal, relevant text needed for summary generation is securely transmitted.

Your Rights Under GDPR

If you are an EU resident, you have rights under the GDPR. These include the right to access, correct, or delete your data; object to or restrict processing; withdraw consent at any time for AI processing; and file a complaint with your local data protection authority. You may exercise any of these rights by emailing paperandpaperapps@gmail.com.

Age Restriction

Paperwork is not intended for users under the age of 16. If you are under 16 years old, please do not use the app or submit any information.

Policy Updates

We may update this Privacy Policy in the future. If we do, we will update the “Last updated” date above and may notify you through the app if the changes are significant.
